TKH Digital LLC (“TKH Digital,” “we,” “us,” or “our”) operates ReplyFlux, including the ReplyFlux website, web app, Chrome extension, Outlook add-in, and related services at replyflux.io (collectively, the “Service”).
This Privacy Policy explains how we collect, use, disclose, retain, and protect information when you use the Service.

1. Scope
This Privacy Policy applies to:
- Users of the ReplyFlux Chrome extension and Outlook add-in
- Users of the ReplyFlux web app at replyflux.io/app
- Users who create an account or connect third-party integrations through ReplyFlux
- Visitors to replyflux.io
It does not govern the privacy practices of third-party websites or services, including Google, Microsoft, CRM providers, calendar providers, or other services you choose to connect. Those services are governed by their own privacy policies and terms.
2. Information we collect
2.1 Account information
When you create, access, or use a ReplyFlux account, we may collect:
- Email address
- Authentication identifiers and session tokens
- Account creation date
- Sign-in activity
- Basic account and profile information you provide
We use Supabase for authentication and account management.
2.2 Information you provide when using ReplyFlux
When you initiate a ReplyFlux feature, such as generating or refining an email, asking a question, performing a lookup, or importing contacts, we may process:
- Instructions, prompts, and refinement requests you enter
- Email thread content you choose to analyze, including subject lines, message bodies, and quoted text visible in the relevant compose or reading context
- Names, email addresses, and other recipient or contact information contained in that context
- Preferences you select, such as tone, email type, or mode
- Other content you intentionally provide to the Service
ReplyFlux processes email context when you initiate a relevant feature. We do not continuously scan or create a complete background archive of your mailbox. Draft text and the text of a reply you send may be stored so the product can show that activity. That stored text is deleted about 30 days after it is saved, and also when you delete your account.
2.3 Connected integration data
If you connect a third-party service, we may store OAuth or similar connection information necessary to maintain the connection, including:
- Access tokens
- Refresh tokens
- Token expiration information
- Connected account identifiers
- Organization, tenant, or instance identifiers where applicable
- Other basic connection metadata required by the provider
Connected integrations may include CRM platforms such as Salesforce, HubSpot, Pipedrive, Zoho CRM, and Attio, calendar services such as Google Calendar and Microsoft Outlook, and scheduling services such as Calendly.
The Salesforce connection uses the provider scope that can read and write records. ReplyFlux uses connected CRM data to match an email thread and to fill a draft. You can disconnect a CRM from Connections in the app.
We do not store passwords for those third-party services.
When you use a feature that requires connected data, ReplyFlux may retrieve permitted CRM, calendar, or other integration data to provide context, perform lookups, and generate requested outputs. The information available to ReplyFlux depends on the services you connect and the permissions you approve.
2.4 Contact and history features
If you use contact import, lookup, or history features, we may process or store:
- Contact information imported from connected CRMs or provided by you
- Timeline or history events associated with saved contacts
- Search queries you run within ReplyFlux contact features
- Other contact information necessary to provide features you request
2.5 Usage and technical information
We collect limited usage and technical information necessary to operate, secure, troubleshoot, and enforce limits for the Service, such as:
- Daily or plan-based usage counts
- Error and diagnostic information
- IP address
- Browser, extension, application, or device version information
- Request timestamps
- Request and performance metadata
Application-level logs are designed to contain limited metadata and truncated diagnostic information rather than full email or CRM content.
2.6 Information stored locally on your device
The ReplyFlux Chrome extension and Outlook add-in may store certain information locally in order to operate, including:
- Authentication session information
- User preferences
- Contacts or contact history you choose to save where supported
- Short-lived cached draft, interface, and CRM context information necessary to render or operate the Outlook task pane
ReplyFlux does not intentionally maintain a complete copy of your mailbox or CRM database in browser or task-pane local storage. Locally stored context is limited to information used for recently accessed or generated features.
2.7 Billing information
If you purchase a paid ReplyFlux subscription, Stripe processes payment information on our behalf.
We may receive billing-related information such as:
- Billing email
- Subscription status
- Billing country or address
- Tax information you provide
- Payment status and related transaction metadata
TKH Digital does not store full payment-card numbers.
2.8 Cookies and similar technologies
The ReplyFlux website and web app use cookies or similar browser storage necessary for authentication, security, preferences, and operation of the Service.
We do not use third-party advertising pixels or advertising cookies on replyflux.io.
3. How we use information
We use information to:
- Provide, operate, maintain, and improve user-facing ReplyFlux functionality
- Authenticate users and manage accounts
- Maintain integrations you authorize
- Retrieve context from connected services when requested
- Generate email drafts, refinements, insights, lookups, and other requested AI-assisted outputs
- Import, display, and search contact-related information you request
- Enforce usage limits and subscription entitlements
- Prevent fraud, abuse, and security incidents
- Diagnose technical problems and improve reliability
- Provide customer support
- Process billing and subscriptions
- Comply with applicable legal obligations
- Protect the rights, security, and integrity of TKH Digital, ReplyFlux, our users, and others
We do not sell personal information.
We do not use your email, CRM, calendar, prompt, or other submitted content to train our own general-purpose artificial intelligence models.
We do not sell or share personal information for cross-context behavioral advertising.
4. AI processing
ReplyFlux uses third-party artificial intelligence services, including models accessed through OpenRouter, to provide AI-assisted features.
When you request an AI feature, ReplyFlux may send the portions of your request necessary to perform that feature, which can include:
- Your prompt or instructions
- Relevant email-thread text
- Relevant CRM context
- Relevant calendar context
- Names, email addresses, or other information contained in that context
ReplyFlux configures OpenRouter requests to require Zero Data Retention-compatible provider endpoints and to deny routing to provider endpoints identified as collecting request data for training or non-transient storage.
This means AI providers may process submitted information in order to generate the requested response, but ReplyFlux is configured to restrict OpenRouter routing to endpoints satisfying those data-handling controls.
OpenRouter may retain non-content request metadata necessary to operate its service. ReplyFlux does not enable OpenRouter prompt/response logging or use of prompts and responses for OpenRouter product-improvement discounts.
ReplyFlux does not train its own AI models using your content.
AI outputs are suggestions and may be inaccurate, incomplete, outdated, or inappropriate. You are responsible for reviewing generated content before sending communications or taking action based on it.
5. Google user data
The use of raw or derived user data received from Workspace APIs will adhere to the Google User Data Policy, including the Limited Use requirements.
When ReplyFlux accesses information received through Google APIs or Google Workspace scopes, we use that information only to provide or improve the user-facing features that you request and as otherwise permitted by applicable Google policies. See also How ReplyFlux uses Google data.
The use of information received from Google Workspace scopes will adhere to the Google User Data Policy, including the Limited Use requirements.
We do not use Google Workspace user data to train or improve a generalized artificial intelligence or machine-learning model.
We do not use Google Workspace user data for advertising, retargeting, personalized advertising, credit-worthiness, or lending purposes.
We do not sell Google Workspace user data.
Any transfer or disclosure of Google Workspace user data is limited to circumstances permitted by applicable Google policies, including processing necessary to provide user-requested functionality, security purposes, compliance with law, or other permitted circumstances.
Where Google policies require prior user consent for a particular transfer, including applicable transfers associated with a merger, acquisition, or sale of assets, we will obtain that consent before making the transfer.
6. How we share information
We disclose information only as described in this Privacy Policy.
6.1 Service providers
We use service providers to operate ReplyFlux, including:
- Supabase for authentication, hosting, database functionality, and server-side infrastructure
- Stripe for payment processing and subscription billing
- OpenRouter and underlying AI inference providers for requested AI functionality
- Infrastructure, hosting, security, and logging providers necessary to operate and protect the Service
These providers may process information on our behalf as necessary to perform their services.
6.2 Integrations you connect
When you connect Google, Microsoft, CRM, calendar, or other third-party integrations, information may flow between ReplyFlux and those providers according to the permissions and functionality you authorize.
Your use of those third-party services remains subject to their terms and privacy policies.
6.3 Legal, security, and safety purposes
We may disclose information where we reasonably believe disclosure is necessary to:
- Comply with applicable law, regulation, legal process, or governmental request
- Enforce our Terms of Service
- Protect the rights, property, or safety of TKH Digital, our users, or others
- Investigate, detect, prevent, or address fraud, abuse, security incidents, or technical problems
6.4 Business transactions
If TKH Digital is involved in a merger, acquisition, financing, reorganization, bankruptcy, sale of assets, or similar transaction, information may be transferred as part of that transaction to the extent permitted by applicable law and applicable platform policies.
Where applicable law or a platform policy requires notice or consent before a transfer, we will provide the required notice or obtain the required consent.
We do not sell or share personal information for cross-context behavioral advertising.
7. Data retention
We retain information only for as long as reasonably necessary to provide the Service and for legitimate operational, security, billing, and legal purposes.
Our current retention practices include:
- Account data: retained while your account remains active, subject to legal or operational retention requirements
- OAuth tokens: retained while the applicable integration remains connected and deleted or invalidated when you disconnect or access is revoked
- Draft text and the text of replies you send: deleted about 30 days after they are stored
- Cached CRM and calendar snapshots: about 10 minutes
- Compose idempotency records: deleted after about 10 minutes. The app treats a row as stale after about 2 minutes
- OAuth state rows: about 15 minutes
- Password-reset send records: about 24 hours
- Pending team invitations past their expiry, about 14 days, are marked expired
- Chrome extension contact history stored on your device: about 90 days, and cleared when you sign out of the extension
- A plan change or a failed payment does not delete drafts, connections, or saved contacts
Expired cache and idempotency records are removed automatically on subsequent access and are also purged by a scheduled process that runs approximately every 15 minutes.
You may request or initiate account deletion as described below.
8. Security
We use reasonable administrative, technical, and organizational measures designed to protect information.
Measures include, where applicable:
- HTTPS encryption in transit
- OAuth and calendar tokens encrypted with AES-256-GCM before they are stored
- Authentication and authorization controls
- Database access controls
- Restrictions preventing direct client access to stored integration tokens
- Server-side handling of sensitive integration credentials
- Hosting-provider disk-level encryption
- Zero Data Retention routing controls for OpenRouter AI requests
- Provider data-collection restrictions for OpenRouter AI requests
No method of electronic transmission, processing, or storage is completely secure, and we cannot guarantee absolute security.
You are responsible for protecting your devices, browser, email account, and ReplyFlux credentials.
9. International data transfers
TKH Digital LLC is based in the United States.
If you use ReplyFlux from outside the United States, information may be processed in the United States or other countries in which our service providers operate.
Where applicable law requires transfer safeguards, we rely on appropriate mechanisms made available by our service providers, such as Standard Contractual Clauses or other legally recognized safeguards.
10. Your privacy rights
Depending on your location, applicable law may provide rights regarding your personal information.
10.1 All users
You may:
- Access information associated with your account
- Correct inaccurate account information
- Disconnect third-party integrations
- Delete your account through Settings → Delete Account in the ReplyFlux web app
- Contact us to request assistance with access, correction, or deletion
- Withdraw consent where processing is based on consent, without affecting processing that occurred before withdrawal
The in-product account-deletion process removes connected integrations, cached data, saved contacts, stored draft and sent text, and the applicable authentication record, subject to information we are legally permitted or required to retain. Downgrading a plan does not run that deletion.
For requests not available directly in-product, email support@replyflux.io with the subject “Privacy Request.”
We may take reasonable steps to verify your identity before fulfilling a privacy request.
10.2 EEA, United Kingdom, and Switzerland
Where the GDPR, UK GDPR, or similar law applies, you may have rights including:
- Access
- Correction
- Deletion
- Restriction of processing
- Objection to certain processing
- Data portability
- Withdrawal of consent where consent is the applicable legal basis
- The right to lodge a complaint with an applicable supervisory authority
Depending on the activity, our legal bases may include:
- Performance of a contract: to provide functionality you request
- Legitimate interests: to operate, secure, troubleshoot, and improve the Service where those interests are not overridden by your rights
- Consent: where consent is required for an integration or optional feature
- Legal obligations: where processing is necessary to comply with law
ReplyFlux does not make solely automated decisions that produce legal or similarly significant effects about you without appropriate human involvement.
10.3 California
California residents may have rights under applicable California privacy law, including rights to:
- Know or access personal information collected about them
- Request deletion, subject to applicable exceptions
- Correct inaccurate personal information
- Opt out of sale or sharing where applicable
- Limit certain uses of sensitive personal information where applicable

ReplyFlux does not sell personal information or share personal information for cross-context behavioral advertising.

12. Third-party links and services
